Why an hour beats a month
Most owners picture this as “an AI that answers WhatsApp”. That is one piece. The rest of the week is full of work that could run on its own: the abandoned cart nobody chased, the lead who went quiet after a price, the appointment nobody reminded, the customer list scattered across five different chats.
Setting up any of it alone stalls in the same two places: connecting WhatsApp, and connecting the first system, whether that is the store, the calendar or the CRM. Both are simple for someone who has done it fifty times. Both are hard the first time, alone, between customers.
We know because for a year we did it the long way. A message here, a screen share there, and a setup that should take an hour stretched over weeks, because nobody could clear the hour. The hour has three parts, in this order, and the order matters: there is no point planning an abandoned-cart sequence for a WhatsApp number that cannot connect.
Part one: checking your WhatsApp
Your customers already write to you on WhatsApp, and everything else runs through it: the agent answers on it, the abandoned-cart messages go out on it, and so do appointment reminders and the alerts that reach you. It is also where most setups done alone get stuck. The first fifteen minutes check that your number can connect, and then connect it.
What gets checked, before anything is touched:
- Which app the number is on. It connects through the WhatsApp Business app, version 2.24.17 or newer. If the number is on regular WhatsApp, it moves to the Business app first: same phone, same number.
- Who controls the Meta business account. The number connects through a Meta business account, and in many businesses someone else set it up: an agency, a relative, an employee who has since left. We find out who has access before we start, not halfway through.
- Whether the number is already connected somewhere else. A WhatsApp number can be connected to one platform at a time. If an old system still holds it, it gets released first.
- What changes on your phone. You keep using WhatsApp exactly as before. A few features switch off in 1:1 chats (disappearing messages, view once, live location) and broadcast lists become read-only. Better to hear it now than to find out next week.
- What WhatsApp charges. From 1 October 2026 WhatsApp charges for ordinary replies too: in Israel about 1.6 agorot a message, and what customers send you stays free. Then it gets connected: Meta's own window in the browser, a few taps in the app on your phone, and your contacts and the last six months of chats sync over. Nothing answers anyone yet. The agent starts muted and sees every message without replying until you decide.

Part two: what can be automated
We go through your week, not through a list of integrations. Two kinds of work come up. Answering: customers ask, and someone has to reply. Chasing: things you are supposed to start yourself, and often don't get to.
Twenty minutes in, you know three things: what goes first, what follows in the next sessions, and what stays with a person. The last one is worth knowing in minute twenty rather than in month two.

Part three: doing the work
The last half hour is the reason the meeting exists. Not a plan for the work: the work. Whatever came first in part two gets built and switched on.
- The first system gets connected: the store, the calendar or the CRM, whichever sits behind the job that came first.
- The first automation gets built. It might be the agent answering the questions you get most, an abandoned-cart sequence, reminders before appointments, or every enquiry landing in one list. One that works beats five that are planned.
- It is built from your business: your website, the chats that just synced, a price list or document you already have. You answer questions; you do not fill in forms.
- It gets tested on real cases: last week's questions, a cart message sent to your own number first, a test booking.
- The limits get set with you: what runs alone, what comes to you, and what nobody automates.
- You decide when it goes live: today, or after a few days of testing while you see what would have gone out.
How to prepare
Five minutes of preparation decide how much of the hour goes on work and how much on hunting for passwords.
- Your phone, with WhatsApp Business updated. Part of the connection happens in the app.
- Access to your Meta business account, or the person who has it, reachable by phone.
- A computer. We share a screen on Google Meet, and if something has to be done on your side we do it together over AnyDesk.
- The admin logins for your store, calendar or CRM, whichever you use.
- One job you want to stop doing yourself. The single most useful thing you can bring. Owners who arrive with one specific chore leave with it already running.

It can go two ways, and both are fine.
